1. COMMUNICATION + TIMELINES

I believe you deserve to run a business that blesses your life, not one that robs you of the treasured moments you want to hold onto for a lifetime. 

I keep my hours separate so I can focus on family when I am with them, and work when I have my office hours.

I know you lead a very busy life, so I try to keep my communication short and sweet to respect your time. 

My clients live in different time zones, so I thought I’d clarify my work hours, time zones, and when you can expect to hear back from me.

OFFICE HOURS

My work hours are Monday – Friday, from 9am through 3pm UK Time.

Communication hours are Monday – Friday, from 9am through 2:30PM UK Time

 

In order to focus on client projects, I’ve designated email times to 9am through 2:30pm UK Time. For example, if I receive an e-mail at 2:45pm UK Time, you can expect my response between 9am and 2:30pm UK Time the following day.

  • As a client of mine, you are my top priority. I do my best to reply to all communication regarding active projects within 24 hours (during my office hours).

  • To help keep your project on track to finish on time, please provide all feedback within 2 business days of hearing from me. 

  • I really appreciate your effort to provide files and feedback on time and to communicate within the times and days outlined above. Timeliness from both of us will help us get your project done on (or even before!) the deadline so you can move on to the next exciting task on your to-do list and I can cheer you on.

COMMUNICATION

1. Main Communication Channel: Asana

  • During your project, we will primarily use Asana and emails to keep track of all our tasks and deadlines, and keep all communication in one place.
 
  • This helps me keep all our files, to-dos, deadlines etc organised and streamlined which  allows me to do the best job I can.
 
  • Asana is a project management tool, you don’t need to pay for anything. You will simply receive an invitation from me to join your project and you will be all set!
 

For all project related communications, we will NOT be using messenger chats, as these can easily get messy and NOT effective use of yours and my time.

2. Design Presentation or Revision Communication: Zoom

When presenting designs or going through revisions, we may jump on a Zoom call to go through the presentation and questions live – this really helps the project to progress faster!

 

3. Providing Feedback on Designs or Revisions

  • To help keep your project on track to finishing on time, please provide feedback on your designs within two business days of receiving them.
  • I really appreciate your effort to provide files and feedback on time. Timeliness from both of us will help us get your project done on (or even before!) the deadline so you can move on to the next exciting task on your to-do list and I can cheer you on.

2. PROJECT MANAGEMENT

Now that you are booked in my schedule, we will continue our communication using Asana as we visually map out our progress.

Asana is a free online project management tool where we can have conversations, share files, set reminders, and create to-do lists…it’s bloody amazing 😉 !

Whereas information often gets lost when managing projects through email, nothing slips through the cracks in Asana. It’s the simplest way to keep your project organised and make sure it goes as smoothly as possible!

And the BEST of all? You can just hit the reply button via email (yes you don’t have to even login to Asana unless you want to!) and Asana will assign it to the relevant task board.

3. WHAT I NEED FROM YOU BEFORE THE PROJECT BEGINS

CREATE YOUR PINTEREST BOARD

On Pinterest, you will create and fill a board with inspiration for your design.

  • And simply reply to the task email notification you receive to “Fill a Pinterest board for visual inspiration” to share your Pinterest board URL.
  • If Pinterest isn’t your thing, don’t worry. You can search Google for images that resonate with the way you want your brand to feel and simply upload them to the ‘Pinterest’ task inside our Asana project.

FILL OUT YOUR DESIGN QUESTIONNAIRE

Your design questionnaire (accessible in both your email and in your client portal) helps me understand your goals and needs, and enables me to create something that not only attracts your target audience, but also something you’ll love! 

YOUR WEBSITE CONTENT

  • In order to keep to timeframes and deadlines set, I will need all the content for your website before I start designing the site.

 

  • The website content requirements will be emailed to you following our consultation session.

 

  • You will receive tasks notification emails where you will upload all the text, images, and SEO terms for the pages I’ll design for you

 

  • You will also need to supply your logo if I’m not designing your branding.

4. FEEDBACK GUIDELINES

I really appreciate simple and straightforward feedback. It helps me clearly understand your thoughts and make the right changes to your designs. 

I’ll coach you on what exactly I’m looking for in Asana, but here’s some criteria to get us started.

A FEW TIPS ON PROVIDING HELPFUL FEEDBACK

  1. Try and use bullet points to break up your feedback.
  2. Use headers to organise your feedback.
  3. Read over your feedback to make sure it’s clear and check that you have answered any questions I may have asked.
  4. Post your feedback as a comment on the relevant Asana discussion instead of emailing me directly. Back and forth emails can get tiring but communicating in Asana is a breeze!
  5. If you have team members that would like to add their feedback, I kindly ask that you gather the feedback into one message. This stops everyone from getting confused and keeps the project organised.

5. PAYMENT & CANCELLATION POLICY

PAYMENT POLICY

  • A non-refundable 30% deposit is due to book your spot in my schedule.

  • 35% is due the day before we start your project.

  • 35% is due when the project is complete but before I hand over your final files.

  • As outlined in my contract, if your first 35% payment is late, I can put your project on hold. We can restart the project at a later date but a Rescheduling Fee will be charged.

  • Your final payment is due 14 days upon receipt. If payment has not been made by the 14th day, a 5% interest will be added every 7 days until your payment has been completed, starting on the 15th day.
CANCELLATION POLICY
 
Deposits are non-refundable due to the fact that I have saved space for the time and work has began.
Sometimes, things simply don’t go the way we expect them to.
 
If at some point either of us decides to not continue working on the project, we can submit the desire to do so in writing and payment for all work completed at that point will be due. For example, if the website is 80% completed, you will be billed 80% of the total project cost plus 100% of any additional costs required to purchase such as premium plugins or fonts etc.
 
 

6. FREQUENTLY ASKED QUESTIONS

Frequently Asked Question Client

Will my new site be on page one of Google?
Not yet. It takes time and good search engine optimisation (SEO) to achieve this. However, your site will be optimised for search engines and over time could get on the first page of Google for search terms related to your business.

 

Will you show me how to update the site myself?

Absolutely! You will get access to a library of video tutorials on how to manage and update your website confidently. 

 

 

Will you send me the fonts you used?
If you like the premium fonts we use in your website, you will need to purchase these fonts. The fonts are reasonably priced. Let me know and I can get that sorted for you!

 

Will you send me the editable design files?

These files are not included in the project. But if you do want them, let me know and I’ll create a separate invoice for the cost of these files.

So, What's Next ?

In the next couple of days you will receive homework as Asana tasks so that I get to know you, your business and your vision for the new website.

The homework needs to be completed 1 WEEK prior to project start date so that we can move ahead on schedule, otherwise the project end will be impacted.

Once you have completed the tasks , set up a Pre-Project Consultation session to really nail the details and develop a build plan for your new website.
